Automate your Booking.com cleans: the iCal guide

Connect your Booking.com iCal calendar to CleanClac: every check-out creates a clean, your team is notified, and you receive timestamped photo proof.

A Booking.com reservation lands while you’re in a meeting. The guest leaves Saturday at 10am, the next arrives at 4pm, and no one has told your cleaner. You find out Friday night, make three phone calls, and cross your fingers. The good news: Booking.com’s calendar exports a standard iCal feed, and this simple link is all it takes for every check-out to automatically trigger a scheduled, assigned, and verified clean. Here’s the full step-by-step with CleanClac, plus the Booking-specific quirks you need to know to keep things running smoothly.

Why automate your Booking.com cleaning schedule

Booking.com is no longer just a hotel site: the platform listed around 8.6 million alternative accommodation properties in Q3 2025, and these accounted for 35% of nights sold in Q2 2025 according to Rental Scale-Up. If you rent short-term, chances are some of your bookings come through this channel, alongside Airbnb or Vrbo.

But every Booking.com reservation triggers the same chain of actions: note the check-out date, notify your cleaner, check the clean is done before the next arrival. Done manually, this chain always breaks at the same point: passing on the information. A last-minute booking, a cancellation, a date change, and your paper planner or WhatsApp group is already out of date.

It’s not just a logistics issue. 81% of guests say cleanliness is their number one factor when choosing accommodation, and 78% are more likely to leave a positive review when the property is spotless, according to an AHLA study shared by Hospitable. A missed clean costs you in reviews. Automating with iCal solves the problem at the root: the booking creates the clean, with no human intervention.

Everything starts in the extranet, Booking’s partner management interface. The principle: Booking publishes a unique iCal link (a URL ending in.ics) for each property, containing your reserved periods. Any app that can read this standard format can track your bookings.

Here’s how to find it in the extranet:

  1. Log in to the Booking.com extranet (admin.booking.com) with your partner account.
  2. Open the Calendar & Rates tab, then the calendar sync section.
  3. Choose export calendar: Booking generates a unique iCal URL for the property.
  4. Copy this link. You’ll paste it into CleanClac.

Three Booking-specific points to watch:

  • One link per property. If you manage several listings or units, each has its own iCal feed. Export them all.
  • The link is confidential. It contains your booking dates: only share it with your tools.
  • The function may be hidden if your property is connected to a channel manager: Booking assumes sync is handled there, so you’ll get the feed from the channel manager instead.

For the official details on how the extranet works, the go-to is the Booking.com Partner Hub, which documents calendar and reservation management.

Step 2: Connect your Booking calendar to CleanClac

On the CleanClac side, connecting takes two minutes per property:

  1. Create the property in CleanClac (name, address, optional photo).
  2. Open the property’s iCal sync section.
  3. Paste the iCal URL copied from the Booking extranet.
  4. Set the property’s default cleaning slot: for example, “on check-out day, between 10am and 3pm”.

That’s it. CleanClac now reads your Booking calendar and, every time a guest checks out, automatically creates a clean in the property’s default slot. A booking made at 11pm on a Sunday generates its clean just as reliably as one made three months in advance.

The same process works for Airbnb and Vrbo: add each iCal feed to the same CleanClac property, and all check-outs, whatever their source, feed into a single cleaning schedule. For how cross-platform calendar sync works, see our dedicated guide: iCal sync: Airbnb, Booking.com and your cleaning rota.

If you already use a PMS or channel manager, CleanClac also offers direct connectors for Beds24, Smoobu, Lodgify, Hostaway, Guesty, and SuperHote. CleanClac doesn’t replace these tools: your PMS remains in charge of bookings, rates, and listings, and CleanClac plugs in to handle cleaning and operations. The connector is even better than iCal, as it pulls bookings directly from the source.

Step 3: How automatic scheduling works in practice

Once connected, every automatically created clean inherits the property’s settings:

  • The default slot: set to your real-world timings. Check-out at 10am, next arrival at 4pm? Cleaning slot 10am, 3pm, with a buffer for surprises.
  • The illustrated checklist for the property: CleanClac uses a catalogue of around 200 tasks by section (cleaning, finishing touches, linen, restocking, comfort, guest extras), which you tailor to each property. The cleaner knows exactly what’s expected.
  • The assigned cleaner: your team member gets a notification on their phone.

Special cases follow the same logic:

  • Last-minute booking: the clean appears as soon as the iCal feed is refreshed.
  • Cancellation: the booking disappears from the Booking calendar, and the now-unnecessary clean can be cancelled before anyone travels.
  • Same-day turnover (check-out and check-in on the same day): the clean is created on the day of check-out, in the default slot. This is where missed cleans are most costly, so automation pays for itself.

One last setting: the estimated cleaning duration. If a slot is too short, it’s quickly obvious in CleanClac, as the real time is tracked and an “Overdue” label appears if the estimate is exceeded.

Step 4: Team notified, clean proven remotely

Automation only works if the information reaches the person with the vacuum. In CleanClac, the assigned cleaner is notified directly in the app: new clean, date, slot, property, checklist. Three details make life easier for your team:

  • Unlimited, free cleaners for life: you pay per property, never per team member. Adding a last-minute stand-in costs nothing.
  • Access vault: key safe or door code is sent to the cleaner on duty, and only to them. No more codes flying around by text.
  • Built-in messaging: manager-cleaner chats stay attached to the specific clean.

For more on how team alerts work, see Automatic cleaning for every booking: how it works.

The final piece: proof of completion. The cleaner finishes by sending photos or a video timestamped by the server, with digital file fingerprint and GPS location. Neither cleaner nor manager can backdate proof: if a guest disputes cleanliness on arrival, you have dated, geolocated evidence. You also get on-site GPS check-in, the real duration of the job, and a property condition rating (1 to 5 stars) given by the cleaner on arrival, invaluable for spotting stays that left a mess. Booking-specific quirks to know before you start

iCal is a robust standard, but Booking has its own quirks, and knowing them will help you avoid most surprises.

The iCal sync delay

An iCal feed isn’t a real-time connection: the app reading it checks the calendar at regular intervals. Depending on the platform and tool, refresh can take anywhere from a few minutes to a few hours: a same-day booking made late morning might take a while to appear. The fix: keep a safety buffer in your slots, and for high-turnover, last-minute properties, use a direct PMS connector, which is more responsive than iCal.

What the iCal feed does (and doesn’t) include

The Booking iCal feed sends reserved and blocked periods, which is enough to schedule cleans. It doesn’t include all booking details (guest contact, price, special requests): those stay in the extranet or your PMS. For cleaning, what matters is the check-out date, and that’s included.

Extranet or channel manager: which is the source of truth?

If you’re direct on Booking, the extranet is the source, and so is its iCal. If a channel manager runs your listings, connect CleanClac to it or your PMS (direct connector for Beds24, Smoobu, Lodgify, Hostaway, Guesty, or SuperHote), not to each platform separately: this avoids duplicates when a single booking appears in two calendars.

Check-out times

The iCal gives the check-out day, not the guest’s check-out time. That’s why the default slot matters, set to the check-out time published in your Booking listing. Occasional late check-out? Move the clean manually: automation creates the base, you stay in control of exceptions.

Best practices for a flawless Booking pipeline

  • Test with a real booking: after connecting, check that an existing booking has generated a clean on the right date, in the right slot.
  • One schedule for all platforms: add Airbnb and Vrbo feeds to the same CleanClac property, so your team only has one calendar to follow.
  • Checklist per property, not generic: a city studio and a house with a garden need different checks. Tailor the sections to each property.
  • Watch for “Overdue”: recurring overruns mean your slot is too short.
  • Track your stocks: per-property consumable levels with low-stock alerts mean toilet paper never becomes a guest review issue.

The context makes this more valuable than ever: with 951.6 million nights booked via platforms in the EU in 2025, up 11.4% year-on-year according to Eurostat, turnovers are speeding up and manual cleaning coordination is the weak link in the business.

Your questions

Does Booking.com offer iCal export for all properties?

iCal sync is available in the extranet for partners who manage their calendar directly. It may be hidden if your property is connected to a channel manager, which then becomes the sync point. Each property or unit has its own iCal link, which must be exported individually.

How long does it take for a Booking.com reservation to appear in CleanClac?

An iCal feed is checked at regular intervals, not continuously: expect anywhere from a few minutes to a few hours. For the vast majority of bookings, made days in advance, this delay is invisible. For same-day arrivals, keep a buffer in your slots or use a direct PMS connector, which is faster.

Can I sync Booking, Airbnb, and Vrbo on the same property?

Yes. CleanClac accepts multiple iCal feeds per property: add your Booking, Airbnb, and Vrbo links, and all check-outs feed into the same cleaning schedule. Your team sees a single calendar, whatever the booking source. If a PMS already centralises everything, connect CleanClac to it via a direct connector instead.

Does my cleaner have to pay or subscribe?

No. In CleanClac, cleaners are unlimited and free, for life: only the manager pays, per property, from £9.99/month for 1 property. The cleaner uses the app on iPhone or Android, receives their jobs, ticks off the checklist, and sends photo proof, free of charge.

Does automation handle same-day check-outs and arrivals?

Yes, in fact this is where it’s most useful. The clean is created on the day of check-out, in the default slot, and the cleaner is notified as soon as the booking is detected. For frequent same-day turnovers, set a realistic slot between check-out and check-in, and watch for the “Overdue” label.
