Channel manager, PMS, cleaning tool: roles, differences and typical combinations depending on your portfolio size, so you can choose without paying twice.

You manage two flats on Airbnb and Booking, and you've just narrowly avoided a double booking. You're looking for a solution, and every website mentions "channel manager", "PMS", "task management", with prices from £10 to several hundred pounds a month. It's impossible to know what's essential and what's redundant. Here’s who does what, what each tool doesn’t do, and which combination to use whether you manage 1, 5 or 40 properties.

Three families of tools, three distinct roles

A host’s software ecosystem boils down to three layers, each with a specific job.

  • Channel manager: synchronises calendars, prices and bookings across platforms (Airbnb, Booking, Vrbo) to prevent double bookings.
  • PMS (Property Management System): centralises bookings, guest messages, payments, pricing and statistics in a single dashboard.
  • Cleaning tool: turns every guest departure into a scheduled, assigned, checked and documented cleaning task.

The confusion comes from blurred boundaries: most PMSs include a channel manager, and some offer a basic task module. But no tool does all three jobs in depth. Understanding who does what saves you from paying twice for the same function, or assuming a feature is covered when it isn’t.

The market won’t wait: platforms recorded 951.6 million overnight stays in the European Union in 2025, up 11.4% year-on-year according to Eurostat. More guests means more bookings to sync and more cleans to schedule.

The channel manager: the guardian of your calendars

The channel manager has a single mission: to keep your availability and prices identical everywhere, in real time. A guest books on Booking: those dates are instantly blocked on Airbnb and Vrbo. You raise your prices: the increase is pushed to all channels.

Without it, you have two options. Either you only list on one platform, missing out on some demand. Or you sync your calendars using iCal links, the free native method: it blocks dates, but with a delay of up to several hours, and doesn’t sync prices. What the channel manager doesn’t do: guest messaging, payments, cleaning. It’s a reliable pipe between the platforms and you. In practice, a “pure” channel manager is now rare: it’s almost always a module within a PMS.

The PMS: your business control centre

The PMS is the administrative and commercial brain of your business. It brings together:

  • the integrated channel manager;
  • a unified inbox: Airbnb, Booking, email, sometimes SMS and WhatsApp;
  • automated guest messages (confirmation, check-in instructions, review requests);
  • pricing (rules, native dynamic pricing or via PriceLabs);
  • a direct booking engine, often with a website, to take commission-free payments;
  • payments, deposits and invoices, plus statistics (occupancy, RevPAR).

Providers are split by portfolio size. For a few properties, Smoobu (around £25/month for 1 property according to their official pricing, checked August 2026) or Lodgify focus on simplicity. Beds24 (from about £13.50/month) attracts growing portfolios. Superhote, a French provider on request, is popular with French-speaking agencies. Guesty and Hostaway target managers with dozens or hundreds of listings.

What the PMS doesn’t do, or only superficially: field operations. Some offer a task module, which we’ll come back to, but none are designed as a professional tool for cleaning teams.

The cleaning tool: the operational field layer

Between two bookings, everything happens in a few hours: full clean, linen change, restocking supplies. That’s the job of a cleaning management tool. A tool like CleanClac:

Overlapping zones: beware of duplicates

Three overlaps deserve attention.

The PMS already includes a channel manager

If you get a PMS, don’t add a separate channel manager: channel sync is included. Conversely, to sync two calendars, a full PMS may be overkill: free iCal links are sometimes enough.

The PMS sometimes offers a task module

Guesty, Hostaway or Superhote include a native task system: automatic creation after check-out, assignment, statuses. With Lodgify, it’s only on the most expensive plan. These modules are fine for a small portfolio, but their limits show as your team grows: no advanced photo checklists, no systematic quality control, no stock tracking, and an interface designed for the manager, often in English. It’s no coincidence Hostaway maintains official integrations with cleaning specialists: even the big PMSs recognise that true operational depth requires a dedicated tool.

The cleaning tool reads the same calendar as the PMS

Which combination for your portfolio size

There’s no universal stack: here are the three typical setups.

1 to 3 properties: the minimum that works

The aim: don’t turn a side income into a second job. The most common combo: free iCal sync + a cleaning tool. iCal links prevent double bookings (the Airbnb Help Centre explains how), and the cleaning tool automates the most time-consuming part: notifying the cleaner, checking it’s done. 4 to 10 properties: PMS becomes central

From 4 or 5 properties, the volume of messages, payments and pricing tweaks justifies a full PMS: Smoobu, Beds24, Lodgify or Superhote depending on your needs. At the same time, you’re no longer doing all the cleaning yourself, and coordinating 2 or 3 cleaners by text won’t last the season. The typical stack: PMS + connected cleaning tool.

10 to 50 properties: the equipped agency

The most common mistakes

Four pitfalls come up again and again.

  • Getting an enterprise PMS for 2 properties: comparison sites rate Guesty or Hostaway as overkill for one or two lets.
  • Thinking the PMS task module covers cleaning: it creates tasks, but doesn’t guarantee quality or proof. You find out at the first guest dispute.
  • Stacking redundant subscriptions: a standalone channel manager plus a PMS that includes one is paying twice for the same thing.
  • Expecting everything from one tool: the perfect “all-in-one” doesn’t exist. The best setups combine two well-connected specialist tools.

The right question isn’t “what’s the best software?” but “which function am I missing, and who does it best?” Double bookings: channel manager. Drowning in messages: PMS. Cleanliness complaints: cleaning tool.

Your questions

Is a channel manager and a PMS the same thing?

No. The channel manager syncs calendars and prices across platforms, while the PMS covers all management (messages, payments, stats) and almost always includes a channel manager. Standalone channel managers are now rare: it’s a module in PMSs like Smoobu, Beds24 or Superhote.

Do I need a PMS with just one property?

Not necessarily. With one property on one or two platforms, free iCal sync and Airbnb’s scheduled messages cover the basics. A PMS is useful for centralising messages, taking direct bookings or managing your pricing. Many hosts start by automating cleaning, their real pain point, before getting a PMS.
